Setting up a Teachers Laptop
In a Linux Network these are the steps to set up a Laptop for a teacher to have full access to the resources of the network.
The Laptop- Turn on the laptop.
- You may experience a time failure on the laptop, some times the laptop as you receive them have a flat battery and the time has reverted back to 01/01/00. Don't worry, set the time if you can (you will get an opportunity later to do this) and continue with the start up.
- There will be a lot of system updates and this start up procedure may take 5-10 minutes.
- Acquire the wireless network, putting in any wifi keys as needed.
- Once the computer has started up and you have the Desktop available, you will be presented with the program to register Windows 7 and Office 2010 with the schools Microsoft licensing codes.
- Generally I store these codes for easy access on your server at the following address.
- \\server\setup\ai.net.nz.
- They are two little text files whose name is the license code you need.
- Press F2 and [Ctrl-C] and you have copied the license to the clipboard,
- Go to the Registration windows and press [Ctrl-V} to copy the code in to the desired license area.
- DO NOT RUN OFFICE YET, we will deal with office later.
- Install Smart Login.
- The latest version for your school will generally be found at:
- \\server\setup\ai.net.nz.
- Run the installation
- When you get to the boxes to tick, tick all three.
- At the end of the installation do tick the configure now box.
- This window will open and generally complete for your school similar to what I have here.

- Actives the Administrator User.
- Click on start.
- Right click Computer
- Click on Manage
- The Computer Management widows opens
- Under System Tools Click and open Local Users and Groups
- Open up Users
- Right click Administrator and click on Properties
- Make sure:
UNTICK User cannot change password
TICK Password never expires
TICK Account is disabled - Click on Apply and OK
- Again Right Click Administrator
- Click on Set Password....
- Click on Proceed
- Give administrator our standard password.
- Click on OK
- Close down Computer Management
- Change the name of the laptop to some thing meaningful.
- Click on Start
- Right Click Computer
- Click on Properties
- Click on 'Advanced system settings'
- Click on 'Computer Name'
- Click on 'Change'
- At the top change the 'Computer name:' top some thing meaningful. I use the teachers name and this year, i.e. tony2011
- Click on OK
- Click on OK
- You will be asked to restart this computer, do so.
- REBOOTING
- Log back in as Administrator.
- Under Control Panel, create a user for this teacher.
- Make this user an administrator
- Set the user up with a password if desired. (Should be the same as their email password)
- REBOOT
- Log back in as the teacher.
- You should get the smart login screen
- Login as the teacher to the server and the school network.
- Make sure that the teacher now has access to all the network drives that they need.
- Install or upgrade any of the following programs depending on the needs of the teacher.
- Acrobat Reader
- FireFox (currently at version 5.x)
- Google Earth
- Microsoft Photo Story
- Microsoft Movie Maker
- Daemon Tools CD emulator
- Click on OK
Thing that need to be copied over from an old laptop.
Now is the time for a good spring clean. Get rid of those 100s of old photos, files and emails.
Once old stuff has been deleted copy to the new laptop the following:
- My Documents
- Desktop folders (There should be no files on the desktop, files should be in My Documents)
- Favourites (or bookmarks from FireFox)
- outlook.pst
- The outlook file needs to be copied before outlook is run for the first time on the new laptop.
- The file we need is called outlook.pst (and archive.pst if needed)
- This file is generally at c:\Documents and Settings\(User name)\Local Settings\Application Data\Microsoft\Outlook
- It is easiest to just copy the whole Outlook folder
- this folder could be over a gig in size.
- On the new laptop copy this Outlook folder to
- C:\Users\(User name)\AppData\Local\Microsoft
- Now run Outlook for the first time.
- Call me I do not have the instructions written for this yet.
- There may be other data needed from this laptop, depending on the way the teacher has used the laptop.
At School
- Install printers as needed. (Specific details provided down the page.)
- Setup the proxy server as needed for Internet Explorer and FireFox
- Check Email is working. (See seeting up Outlook)
- Check antivirus is working and up to date. Keep as un-managed so the teacher can receive update during the holidays.
IP Printers
Many Schools use a photocopier/printer.
- Before we start you need to know th teachers photo copy code (if you use them in the school.)
- We need to know the IP address for the printer. You can check on an existing laptop. Generally we use 192.168.x.249, where x is your network specific designation.
- Click on Start
- Click on Control Panel
- Open up Devices and Printers (Win 7), Printers and Faxes (XP)
- Top of this window, click on Add a printer
- Choose Add a local printer
- Choose Create a new port
- Choose Standard TCP/IP Port
- Click on Next
- In Hostname or IP Address type in 192.168.x.x, where x is your network specific designation.
- Make sure there is NO TICK in Query the printer and automatically select the drivers to use.
- Click on Next
- On the Device Type Choose Standard & Generic Network Card.
- Click on Next
- Under Install the printer driver choose Have Disk
- Under install from disk choose Browse
- You will now need to browse to the specific loaction on your server where the drivers for your printer are located.
Make sure you have 32 or 63 bit drivers
For future reference write the location here: ____________________________________________________________ - Make your choice and click on Open
- Click on OK
- Click on Next
- On the window Printer Sharing, choose Do not share this printer
- Click on Next
- Do not print a test page, click on Finish
We now need to set this printer up with the right codes and settings for default printing.
- Click on Start
- Click on Control Panel
- Open up Devices and Printers (Win 7), Printers and Faxes (XP)
- Right click the printer to you have just installed
- Choose Printer properties
- Choose the TAB Configure
- Under Device Options go to the end of the list
- Choose and click on Account Track
- Change the setting to Enabled
- Click on Apply
- Now choose the TAB General
- Click on Preferences...
- Under the first TAB, Basic click on Authentication/Account Track
- Under Account Track you should be able to put this users photocopy number in to the password section. Nothing is needed in Department Name.
- Click on OK
- Now choose the TAB Quality
- Change the color setting to Grey Scale.
- Click on OK
- Click on Apply
- Click on Test Print Page
- A test page should print
- Click on OK
